AI receptionist for small business: every call answered, day or night

Call a test receptionist built on your own services and hours before you sign anything.

  • Answers on the number already on your trucks, ads and Google profile
  • Offers two open times from your live calendar and texts the booking
  • Sends emergencies to your on-call phone with the caller's details
  • An honest evaluation, with no obligation to hire us
  • You own every account, domain, profile and CRM
  • One team since 2015, nothing subcontracted
  • 4,700+ businesses served

For local businesses that miss calls on the job or after hours. Website chat and lead follow-up are on the AI agents page.

A call at 7:48 p.m., start to finish.

The office closed at five and the water heater did not care. Here is what the receptionist does with that call, in the order it does it.

  • Says who it is

It greets the caller with your business name, says plainly that this is the automated assistant, and offers a person at any point in the call.

  • Asks your questions, in your order

The job, the address or ZIP code, how soon, and the one answer that rules a caller out, such as a town you do not cover.

  • Offers two open times

It checks your live calendar and puts two real slots to the caller rather than asking what suits them, then books the one they choose.

  • Texts the details

The caller gets a text with the time and anything to do before the visit, like where to shut the water off while they wait.

  • Knows when to stop

Emergencies, complaints and any question it was not briefed on reach a person: a live transfer while you are open, a text alert to whoever is on call when you are not.

  • Leaves a record

The recording, a short summary and what was booked land on the contact in your CRM, so the morning starts with a list rather than a voicemail box.

Almost nobody leaves a voicemail, and most missed calls get no callback within two days.

Three figures from call data, each from the company that published it. They are vendor numbers, so read them as direction rather than as a forecast for your phone.

56%

of calls to businesses were answered by a person, across 10 industries

Invoca, 2026, vendor data

Under 3%

of home services callers sent to voicemail left a message

Invoca, 2024, vendor data

31%

of 16.7 million missed calls got a callback within 48 hours

Quo, 2026, vendor data

Before you buy anything, count your own misses from your phone system's call log: Business Profiles stopped keeping a call history on July 31, 2024. Our missed-calls playbook shows how, and which popular figures trace to nothing.

Your part of the setup is a conversation and some test calls.

No real caller hears the receptionist until you have called it yourself and signed off on how it sounds.

What you do

  • Tell us your services, hours, service area and which calls count as emergencies.
  • Give us any price ranges you are happy for it to quote. It quotes nothing else.
  • Call the test line and tell us what it got wrong.
  • Pick when it answers: after a set number of rings, after hours, or on every call.

What we do

  • Write the script and the hand-off rules from the way your best person on the phone talks.
  • Connect it to your phone line, calendar and CRM, and register the number so its texts deliver.
  • Settle the disclosure, the recording notice and how long recordings are kept, before launch.
  • Review its calls every week, rewrite any answer that tripped a caller up, and tell you what it booked.

AI receptionist, answering service or voicemail.

Each one handles the evening call differently, and they combine: the receptionist for bookings, with a person on call for the emergencies it passes on.

AI receptionist

Who picks up
Your automated assistant, which says so in its first sentence
Calls at once
All of them, the moment each one rings
Books the job
Yes, into your live calendar, by your booking rules
What reaches you
A recording, a summary and the booking, on the contact
Best when
Most callers want a time or need to leave job details, and calls outnumber people
Watch for
Telling callers it is automated, a way through to a person, consent to record, and a written list of what it may say

Answering service

Who picks up
A live operator, reading a script
Calls at once
As many as the service has operators free
Books the job
Only with access to your calendar; otherwise it takes a message
What reaches you
A message by text or email, as quickly as the service sends it
Best when
Every caller needs to hear a person, though most only want a booking or a message
Watch for
A generic script, messages that sit until noon, and the service's own recording notice

Voicemail

Who picks up
Nobody. A greeting asks for a message
Calls at once
Any number, none of them answered
Books the job
No
What reaches you
A message from the rare caller who leaves one
Best when
Calls are few and every caller already knows you
Watch for
A greeting that says to call back in business hours, which hands the follow-up to the caller

The rules it follows on every call.

Disclosure, recording and consent rules differ by state and by kind of business. This is not legal advice; confirm with counsel. Every rule below, with its source, is in our playbook on texting, AI answering and call recording.

It says it is automated

Under a 2025 Maine law, a chatbot or AI voice that a caller could reasonably mistake for a human has to say what it is; check with counsel that the law is in force. Texas has required health care providers to disclose AI since January 1, 2026. Ours says it in the first sentence, in every state.

It announces the recording

In California, recording a confidential call without the consent of everyone on it is a crime under Penal Code 632, and Florida, Pennsylvania, Washington, Massachusetts and Maryland set their own all-party rules. The notice goes at the start and stays on the recording, and where recording is not worth the exposure we switch it off.

It never rings anyone back on its own

The FCC confirmed in February 2024 (FCC 24-17) that an AI voice counts as an artificial voice, so before an AI phones a lead, that person's prior express consent has to be on file, in writing for telemarketing. It answers calls; it does not make them without that consent on file.

It stays inside its brief

Hours, area, services, booking rules and the price ranges you approved. No diagnosis, no custom quote, no promise about insurance. For a clinic that is a HIPAA covered entity, we sign a business associate agreement before the first patient call.

What owners ask before switching it on.

Do I have to change my phone number?

No. It answers behind your existing number, so nothing printed, listed or advertised has to change. You choose when it answers: when nobody has picked up after a set number of rings, only after hours, or on every call with your staff as backup.

Will callers know it is not a person?

Yes. Its first sentence names your business and says it is the automated assistant, and it answers truthfully when asked. A caller who wants a person can say so at any point and is transferred, or is given a time when someone will ring back.

What happens when someone calls with an emergency?

You decide what counts: a burst pipe, a lockout, a patient in pain. Those calls go to a person by live transfer, or to your on-call phone with a text alert and the caller's details. Anyone describing a real emergency is told to call 911.

Can it book straight into my calendar?

Yes, natively through GoHighLevel, or into the calendar and CRM you already use. The booking shows on the calendar, and the contact, recording and summary attach to the same record, so your reminders and follow-up start from there.

We run Local Services Ads. Does an AI change what Google charges us?

It can. Under Google's lead rules, a caller who gives job details to an automated system counts as a valid, charged lead, and since October 1, 2026 Google also bills some missed calls during your listed hours as leads. Send only real service calls through it, and compare charged leads with your call log each week. The missed-calls playbook has the detail and Google's pages.

Is it suitable for a medical or wellness practice?

Yes, with guardrails. If your practice is a HIPAA covered entity, we sign a business associate agreement with you before the first patient call. The agent books visits and answers logistics, and it is set up not to collect clinical details over the phone. Your compliance advisor still reviews the setup before launch. Not legal advice; confirm with counsel.

Can it call back the people it missed?

It can send one plain text to a missed caller from a registered texting number, with opt-out wording and no offer in it. An AI voice calling people back is a different matter: that needs their prior consent on record, so callbacks stay with your team until it is. Not legal advice; confirm with counsel.

What does it cost?

It is scoped to your business: how many calls you get, the calendar and CRM it connects to, and whether texting runs alongside it. You call the test line first, and the price is in writing before you agree to anything.

Call a test receptionist that answers as your business.

Tell us what you do, your hours and what a caller usually needs. We build a test receptionist on your own services and send you the number, so you can hear it before you decide anything.

  • A free consult. A real conversation about your business, your area and what is not working yet.
  • An honest evaluation. Where you stand in search, ads and follow-up next to the businesses you lose customers to.
  • A plan you keep. What we would fix first and why. It is yours whether or not you work with us.
