September to December: the months that make a cafe's year

A coffee shop's fall plan, month by month: this week's coffee survey, National Coffee Day, early gift card shoppers, holiday hours and office orders.

For most coffee shops, the stretch from the week after Labor Day to the last gift card sold on December 24 carries the year. Routines come back, the fall drinks sell, offices fill midweek, and then the holidays bring gift cards and bags of beans on top of the usual morning trade. It is also when the gap between a shop that planned ahead and one that reacted shows up most clearly.

The timing of this post is not an accident. The National Coffee Association published its fall National Coffee Data Trends numbers on Tuesday, and they say a lot about how this fall will run.

What this week’s coffee numbers say about the fall

The NCA survey, fielded in June, found 66% of adults had coffee in the past day. What moved was where and how they bought it:

  • Out of the house more. 38% of past-day drinkers had coffee from outside the home, the highest level since January 2020.
  • Through apps more. A record 40% of past-week out-of-home buyers ordered on an app, up from 36% in last fall’s survey, and 55% bought at a drive-thru.
  • Fancier drinks. 48% had specialty coffee in the past day, a new record, and 47% of adults had an espresso-based drink in the past week, up 17.5% since 2022.
  • Hot still wins. In the June survey 71% of past-day drinkers had hot coffee and 21% had cold, against 78% hot and 17% cold in January.

Two practical readings for an independent. The order-ahead link now reaches a large share of your buyers, so it should be the easiest button on your Google listing to find. And the espresso menu is where the growth is, which is what your fall photos and posts should show.

September: the chains started a month ago

Dunkin’ brought back pumpkin season on August 19. The big chains tend to launch fall menus in late summer, so by now their drinks have had a month of ads, app banners and social posts. An independent that is only now putting up a fall menu is late, but not out: the people who live and work near you still choose in seconds, from the map, and a shop that looks current there wins plenty of those choices.

National Coffee Day falls on September 29, ten days from now. It is a crowded morning for offers, so we tell cafe owners to decide this weekend:

  • Whether to run anything at all. A loyalty-only offer often does more than a public discount, because it rewards the regulars who carry the business and gives new faces a reason to sign up.
  • When to announce it. A post on your Google listing and on Instagram a few days ahead, and a message to loyalty members the evening before.
  • What the photo shows. The drink as it is actually served, taken in daylight on your own counter.

Ad prices for this kind of push look reasonable right now. WordStream by LocaliQ’s 2026 Facebook ad benchmarks, published on Monday and covering April 2025 to June 2026, put Restaurants & Food traffic campaigns at a median $0.45 per click with a 2.68% click-through rate. A tight radius around the shop and nearby offices is all a cafe needs.

October: settle the routine and open the gift card shop early

October is usually the steadiest month of the fall. The new routines have settled, the weather is cool enough for hot drinks across most of the country, and offices tend to be fullest from Tuesday to Thursday. That makes it the month for office orders: coffee boxes for meetings, standing orders for a weekly team breakfast, a pastry tray on Fridays. A plain page on your site with what you offer, how much notice you need and a form, plus a mention on your Google listing, will get you most of the way.

It is also the month to start selling gift cards, earlier than feels natural. The National Retail Federation says about two in five holiday shoppers start browsing and buying before November. If your gift cards can only be bought at the register in December, the shoppers who start in October will buy somebody else’s. Check that gift cards and beans can be ordered online and that the link is on your listing and your site.

November and December: hours, beans and the quiet week downtown

The last two months reward the shops that set their hours early. Google advises confirming holiday hours even when they are the same as usual, and its special hours setting covers a temporary change, or a closure of up to six days in a row. Set Thanksgiving, Christmas Eve, Christmas Day and New Year’s Day now, before the season gets busy and someone drives to a locked door.

Traffic patterns shift too, and they differ by street. Shops in business districts usually feel Thanksgiving week and the last two weeks of December as slow weeks, while shops on shopping streets and in residential neighborhoods get busier as people are home and out buying gifts. Plan staffing and offers around which of those you are, not around the national calendar.

Reviews matter in this stretch as well. BrightLocal’s 2026 consumer survey found 74% of consumers only care about reviews written in the last three months, so the reviews you collect from September to November are the ones holiday shoppers and visiting family will read. Keep the request flow running after app orders and on receipts, and answer every review.

What to do this month

  • Put your fall drinks on your Google listing and Instagram this weekend, photographed as served, if they are not there already.
  • Decide on a National Coffee Day offer for September 29 and message loyalty members the evening before.
  • Make the order-ahead link the most visible button on your listing and site.
  • Set special hours for every holiday through New Year’s Day, even the ones that will not change.
  • Get gift cards and beans for sale online before October, and add the link to your listing.
  • Build or update an office order page and tell your weekday regulars it exists.
